Shift planning built on your staffing demand
The module that plans your own staff: departments, roles and demand per week - with an automatic week proposal that never breaks a hard rule.

Departments, roles and employee profiles
The foundation is set up once. Departments are the places, roles are the competences, and each employee has a profile with contract hours and availability.
- Archive rather than delete, so historical shifts still resolve
- Contract hours are used to distribute shifts fairly
- Availability per weekday with optional start and end
- Competences decide which shifts an employee can take

A preview before anything is written
The proposal is shown before it is saved: how many shifts are created, who is staffed, and what cannot be covered. Every assignment carries a reason.
- Reasons such as "under contract hours" or "same shift last week"
- Re-run without duplicates - manual assignments are untouched
- The same input gives the same plan every time
- Unstaffed shifts are reported rather than hidden

Absence, replacements and swaps
Approved absence immediately flags the shifts missing cover. The replacement search ranks only those who can lawfully take the shift.
- Sickness, holiday and leave in one view with status
- Offer a shift to several people - first yes, or you choose
- A swap needs the colleague's consent before your approval
- Coverage per day and role: needed, planned, short

Offer the shift - employees answer in the app
Send an open shift to the right employees by push, email or SMS. First yes wins, or employees register interest and you choose who gets it.
- Candidates ranked by trade, rules and availability
- Push, email and SMS - you pick the channels per offer
- First come or register interest - you decide per shift
- Interested employees surface as a task on your dashboard

What the module includes
Staffing demand
Counts and roles per department and weekday, with season windows.
Draft and publish
Employees only see the plan once the week is published.
Working-time warnings
Rest, weekly ceiling, overlap and contract hours - as advisory warnings.
Open shifts
Unstaffed shifts gather in one place instead of disappearing into the plan.
Employee portal
Six settings you switch on and off: view, report sick, request leave, claim, swap.
Confirm hours
After the shift the employee confirms the hours in one tap.
About working-time rules
The warnings are based on rules you configure - by default an 11-hour rest period and 48 hours per week. They are advisory. Staffly does not verify whether your planning complies with the Working Hours Act or your collective agreement.
